Knox Presbyterian Church is a vibrant, Christian community church serving Oakville from two campuses – one in the downtown core of Oakville and the other in Bronte. Knox Oakville is looking for a Church Administrator, on contract, for 4-6 months. This is a full-time, in office role that supports the church’s day-to-day operations and provides regular logistical and administrative support to the Minister, other ministry team members and volunteers. Overview:
In this full-time role, reporting to the Operations Cluster Coach, and working predominantly from the downtown Oakville campus, the Church Administrator’s primary responsibility is to ensure that the elements of the church’s administrative operations run smoothly. The Administrator must be a self-starter, highly organized, proactive, a good communicator with a varied set of skills.
Job Responsibilities
Reception:
- Provide frontline contact for Knox through telephone, e-mail and personal interaction, greeting visitors to Knox and determining how we may be of service; handle inquiries, receive and prioritize correspondence, directing where needed.
Administration:
- Support the Minister, Worship Team and A/V Team, preparing for worship services and creating online and/or printed bulletins
- Maintain the church calendar for both campuses, including the assigning of locations and rooms
- Attend weekly staff meeting and provide updates, outlining issues that need to be addressed
- Update the church’s website and social media pages as required
- Assist with the preparation of the biweekly congregational newsletter
- Manage security system and building access permissions; from time to time may be required to attend to church after hours (if others on list unavailable.)
- Receive and respond to booking requests from outside organizations
- Marriages: Address inquiries, book weddings, process payments and schedule necessary staff
- Funerals: Arrange meeting for family with Minister, communicate with the funeral home, ensure logistical details are covered, including ushers for services
- Manage office supplies, office equipment maintenance and repairs
- Maintain the church’s member, baptismal, marriage, and funeral records
- Maintain church’s database and filing system, volunteer list, police checks.
Finance:
- Provide support to the Financial Administrator, as needed.
Qualifications & Skills
- Follower of Jesus Christ and aligns with the faith community of Knox Oakville
- 2 years of administration experience
- College diploma or bachelor’s degree in office administration, communications or a related field would be an asset
- Experience with donor databases would be an asset
- Good communication skills in English, both written and spoken
- Exceptional organizational skills
- Strong facility with systems, computer programs including G Suite (Gmail, Meet, Docs and Sheets), WordPress and MailChimp
- Ability to prioritize, and manage time; gets things done under pressure and within tight deadlines
- Able to work independently and with a team.
- Demonstrates diplomacy, self-leadership, good judgement, tact, courtesy, discretion and team spirit
- High level of emotional intelligence, excellent people skills; able to interact with all who use the church, with service contractors and church staff.
Remuneration
The hourly rate range for this role is $25.50 to $30 per hour and will be based on education and certification, experience, and knowledge.
